FastVeri Privacy Policy

1. General provisions

This Privacy Policy sets out the rules for processing the personal data of users of the FastVeri platform available at https://fastveri.eu

This Policy supplements the Terms of Service for the provision of electronic services and specifies how data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR).

2. Data Controller

The controller of your personal data is:

3. Scope of processed data

The Controller processes the personal data provided while using the FastVeri system. Depending on the extent to which the service is used, this may include:

User account data

  • first and last name,
  • email address,
  • telephone number,
  • company name.

Data related to use of the system

  • IP address,
  • device identifier,
  • system logs,
  • date and time of login,
  • history of operations performed.

Data provided during counterparty verification

  • the entrepreneur’s NIP (Tax ID) number,
  • the email address of the sender of correspondence concerning the counterparty being verified,
  • the carrier liability insurance policy document (OCP).

4. Data obtained from public registers

In order to provide the service, FastVeri retrieves information from publicly available public-administration registers. In particular, this may include data from:

  • CEIDG,
  • KRS,
  • the VAT taxpayer register,
  • REGON,
  • other public registers.

This data is not provided to the Controller by the User; it is retrieved automatically from public sources solely for the purpose of generating a report.

5. Purposes of data processing

The Controller processes personal data in order to:

  • set up and maintain the user account,
  • perform the agreement for the provision of electronic services,
  • carry out the counterparty verification process,
  • analyse the submitted documents (OCP),
  • generate reports,
  • ensure the security of the system,
  • handle user requests,
  • pursue or defend against claims,
  • fulfil obligations arising from the law.

6. Legal bases

The Controller processes data on the basis of:

  • Article 6(1)(b) GDPR – performance of a contract,
  • Article 6(1)(c) GDPR – legal obligations,
  • Article 6(1)(f) GDPR – the Controller’s legitimate interest.

If the User gives separate marketing consent, data may also be processed on the basis of Article 6(1)(a) GDPR.

7. Automated document analysis

FastVeri uses artificial intelligence solutions to automatically analyse the documents (the carrier’s OC policy) provided by the User.

The analysis covers only the scope necessary to:

  • read the data from the documents,
  • generate the report.

The Controller does not use the submitted documents to train artificial intelligence models.

8. Data recipients

The Controller may entrust the processing of data to the following categories of entities:

  • hosting providers,
  • IT infrastructure providers,
  • artificial intelligence service providers,
  • email service providers,
  • public authorities, where the obligation to disclose data arises from the law.

9. Processors

The Controller uses, among others, the services of the following entities:

OVH Sp. z o.o. ul. Powstańców Śląskich 9 53-332 Wrocław (infrastructure hosting)

and

OpenAI Ireland Limited 1st Floor, The Liffey Trust Centre 117–126 Sheriff Street Upper Dublin 1, Ireland

(automated document analysis using artificial intelligence models).

11. Data retention period

The Controller retains data for the period of:

  • maintaining the user account,
  • the term of the agreement,
  • the period required by law,
  • the period necessary to pursue or defend against claims.

Documents submitted for analysis are stored for the period resulting from the Terms of Service or from the client’s account settings.

12. Rights of data subjects

Every individual has the right to:

  • access their data,
  • rectify their data,
  • erase their data,
  • restrict processing,
  • data portability,
  • object to processing,
  • withdraw consent (where it was the basis for processing),
  • lodge a complaint with the President of the Personal Data Protection Office (UODO).

13. Data security

The Controller applies appropriate technical and organisational measures to ensure data security, in particular:

  • TLS transmission encryption,
  • access control,
  • user authentication,
  • password encryption,
  • backups,
  • monitoring of infrastructure security.

14. Cookies

The website uses cookies that are necessary for the correct operation of the system.

Depending on the tools used, analytical, functional or marketing cookies may also be applied, solely in accordance with the preferences expressed by the User through the consent management mechanism.

15. Changes to the Privacy Policy

The Controller may amend this Privacy Policy in the event of changes in the law, the development of system functionality, or a change in the way data is processed.
